Step by Step Booking Process
Pre Event
1. Visit Website or visit our Experience Center to see events, facilities and get a glimpse of events we undertake
2. Raise an enquiry or
a. mail “Enquiry Form” to [email protected]
3. We will share available venues based on date and guest count as per your needs within 2 working days
a. Meanwhile browse through our services menu to select catering, accommodation, décor and other exclusive services

ii. go to event -> select more services -> explore services and see inclusions -> add to cart -> proceed for submission to check availability (3 days TAT) -> Pay and confirm
iii. Connect with wedding office executive to help you select services offline or over zoom call
4. Pay 50% advance payment to the link we share to confirm the event. Read our cancellation and refund policy on website
a. Dedicated event coordinator is assigned to your event
5. Pay for other services as mentioned in point 3 above
6. Complete balance payment of venue, rituals and other services at least 10 days in advance from event date
7. Connect with your dedicated event coordinator shared at point 4 for any queries and event planning
8. Submit necessary documents like photos, identity proof (Aadhar card preferred, passport for foreign nationals)
a. Fill Form C for housing and wedding registration form
Once you reach the venue or in the booking portal
9. Share guest list count and vehicle numbers coming to the Ashram one day in advance to event coordinator for security clearance , collect name tags for all guests a day before the event or while check in
10. Ensure to convey all requirements to your event coordinator in advance
a. We would ensure to work our best but few requirements may not be possible to meet
Event Day
1. Fill and sign the rules and regulations form post arrival
2. Connect with your event coordinator to help you with check in and settling down
3. Collect important contact numbers and guidelines for your smoother experience
Post Event
1. Ashram is your home, ensure to keep it clean and tidy
2. Submit any necessary document left during pre event phase, specially wedding registration form to collect supporting documents from us for marriage registration at SRO
3. Collect Wedding supporting document
4. Ensure to come back soon to the Ashram

WEDDINGS - RULES AND REGULATIONS
In order to host you and carry out the requested function/event smoothly, we must work together. We are here with you so please don’t hesitate to contact us and share any specific needs/requirements that you may have.
1. Possession and Return
Venue Possession Timings :
A. 1 Day Package –
Possession - 5:00 PM on the day prior to the Wedding.
Handing Over - 3:00 PM on the day of Wedding
B. Half Day Package –
Possession - 6:00 AM on the day of the Wedding.
Handing Over - 3:00 PM on the day of the Wedding.
C. Reception
Possession - 6:00 PM to 10:00 PM on the day of Event
If there is a requirement to book the hall for longer periods please let us know and we will be happy to discuss and accommodate your request.
2. General
A. Please note, Ashram staff and sevaks, may not be available for loading and unloading of personal luggage and other goods/materials of Guests.
B. Musical instruments or loudspeakers are not allowed after 10.00 PM or any other such time as applicable by law.
C. Electric appliances and electrical fixtures and fittings shall not be moved or tampered with. Any damages arising out of such situations will be added to the bill, and at the sole discretion of the management.
D. Any damage to walls, windows, furniture, fixtures, and fittings will be added to the bill at the sole discretion of the management.
E. If more beds are required for guests who are staying overnight, the VDS should be informed of the number of additional beds required at least one month in advance. The allotment of the same would be subject to availability from Ashram Housing.
F. No outside food and drinks or catering are allowed in the wedding hall. All food and beverage arrangements should be made prior to the consultation of the Weddings team. Non-vegetarian food is not permitted. Smoking & Liquor drinking is strictly prohibited in the Ashram premises.
F. The Weddings Manager must be consulted in advance for any lighting decorations required on the outside walls, trees, pathways, etc of the hall.
3. Safety and Security
While we exercise great care in making the halls safe, it is impossible for hall staff to be aware of who is a genuine guest at a function and who isn’t. We request you to be cautious and put all your belongings, valuables and cash to be safely locked in the lockers provided by Ashram.
Please take good care while providing room locks for the private rooms made available to you during a function and for ensuring that the room is safely locked when unoccupied. Management is not responsible for any loss or damage arising from theft or misplacement of cash and valuables.
WEDDING PAYMENT & REFUND - TERMS AND CONDITIONS
1. VAIDIC DHARMA SANSATHAN (VDS ) PAYMENT
50% of the wedding package value to be paid as an advance at the time of booking. Balance 50% to be paid 30 days before the date of the wedding to Vaidic Dharma Sansthan( VDS ).
GST is applicable on all wedding packages as per the norms of Government of India. Payments accepted online through Vaidic Dharma Sansthan portal ( www.vaidicpujas.org ) only.
If full and cleared payment has not been received prior to the event you will be required to make payment on the day (access to the event may be refused at VDS discretion)
2. VENDOR PAYMENT
The vendor payments for Food, Décor, Transportation, Stay etc to be paid directly to the respective vendors as per their terms and conditions.
Vaidic Dharma Santhan Limitation of Liability. The Planner will endeavor to find top suppliers and/or service providers. However, the Planner does not guarantee any suppliers’ and/or service providers’ performance and/or product. The Planner will not be responsible for any supplier and/or service provider performance and/or product. In the event the Client changes the date of the wedding, the Planner will make every effort to accommodate, but the Planner’s availability is not guaranteed for any other date than the date stated above.
3.CANCELLATION POLICY
Cancellation must be received in writing (via email or post) in advance of the event.
a. The following cancellation charges apply:
Cancellation 6 months prior - Full refund
Cancellation 3 – 6 months prior - 10 % cancellation fee
Cancellation 1 – 3 months prior - 20 % cancellation fee
Cancellation 7 days – 1 month prior - 30 % cancellation fee
b. Any change in date of the event, is subject to availability of the Venue.
c. If unforeseen circumstances cause VDS to cancel an event, all clients will be informed as soon as possible and a full paid amount refund will be made.
d. If, for any reason, VDS has to cancel an event, VDS accepts no responsibility for covering travel, hotel or other costs incurred by the clients.
4. FORCE MEJURE
It is expressly declared that the VDS TRUST shall not be liable for failure to deliver due or attributable to breach, non performance or delay in performance obligation under any act of God, orders, ordinances, restrictions or regulations of the Government of Central or State, War, warlike conditions, hostilities, riots, civil, commotions, strikes, lockouts, labour trouble, lack of failure of source of supplies of raw materials, labour or power or fuel shortage, breakdown or repair or accidents in the course of preparation, non availability of transports or any other cause or circumstances of whatsoever nature beyond the control of the VDS TRUST.
5. DAMAGES
Please ensure careful usage of the hall and all facilities.
In case of any damage caused (whether by the deliberant, negligence, or reckless act to the room (s), Venue premises or property, caused by you or any person in your party whether or not staying at the premises during your stay.
Just to caution you. No tape, screws, nails or pins are allowed to be used on the walls or doors. Use of such items cause damage and host will be liable for fixing the damaged items and loss of business due to that.
6. DISPUTE RESOLUTION
We will always try and settle all disputes amicably and fairly. In the unlikely event that we are unable to do so, all dispute resolutions will fall under the jurisdiction of the Bangalore Court.
BRIDE AND BRIDEGROOM – GUIDELINES
REQUIREMENTS FOR MARRIAGE – SUPPORT DOCUMENTS
1. Bride and Groom’s photo ID Proof.
(Aadhar card, Pan card, Driving License, Passport)
2. Bride and Grooms’s Age proof (Groom – 21 Years, Bride – 18 Years)
(SSLC certificate, Voter ID, Passport, Aadhar Card, SSC Board Certificate)
3. Residential Proof of Bride, Bride Groom & Parents.
(Aadhar Card, Electricity Bill, Ration Card, Passport or Voter ID)
4. Wedding Invitation Card
(In case of wedding cards not provided or not available, we need an affidavit of Rs.100/- stamp paper from the Notary with Registration Number).
5. In case of a widower, Divorcee, Separated - submit relevant government documents for the same.
6. Parents of the couple must be present at the time of the marriage. In case of Father/ Mother expired, the other should attend with their respective Aadhaar card along with the death certificate of an expired parent. In case of both parents expired, Guardians can be present for the wedding rituals, duly providing the evidence of respective parents/ Guardians.
7. Marriage registration formalities are to be done by the couple on their own. Vaidic Dharma Sansthan will provide a support document (not a government document) for the same.
8. The Parties(Bride and Bridegroom) acknowledge and agree that this Wedding agreement represents the entire agreement between the Parties. In future if there arises any dispute, misunderstanding, separation then Vaidic Dharma Sansthan is not responsible for any of their personal issues.
9. Vaidic Dharma Sansthan is soleley responsible only for the Wedding Services included in the package.
HOUSING POLICY FOR FAMILY PROGRAMS - DO'S AND DON'TS
Dont's
1. Paste or stick posters and photos on the walls.
2. Bring pets.
3. Make any permanent structural modifications / changes in the room.
4. Nail or drill in the walls.
5. Consume alcohol, cigarettes or any type of addictive drugs, inside or outside the ashram premises during the stay in ashram.
6. Eat or keep meat, eggs or any type of non-vegetarian food(including sea food) during the stay in ashram.
7. Do any type of violence (It may be verbal, physical, emotional etc) inside or outside the ashram premises.
8. Keep weapons, explosive or hazardous objects in room or any place inside the ashram premises.
9. PDA in campus public areas.

10. Security of the belongings of guests is completely their own responsibility.
11. Room facilities, like, electrical, carpentry, civil, plumbing, hot water etc. must be maintained in good condition during the stay period of guests and any damage to the ashram property intentionally or unintentionally will be borne by the organiser.
12. Checkout date need to be strictly followed, checkout time should be at 9:30 am.
13. Extra bedding & other requirements need to be shared in advance.
14. Rooms / facilities to be returned in best conditions.
VAIDIC VIVAHA
- Swagatam – Welcoming of the Groom & Family
- Guru Puja - making offerings and requesting inspiration from the Spiritual Master.
- Ganesha Puja - to remove all obstacles and bring success to the ceremony.
- Punyaha-wachana (Kalash Puja) - to accomplish the worship of everything in the Universe.
- Sankalp – making a wish/intention to get married.
- Vara Puja – performed by Bride’s family to the Groom ( as Form of Lord Vishnu himself)
- Gowri Puja – performed by the bride to seek the blessings of Mother Goddess.
- Nireekshan & Varmala - the Couple exchange their garlands welcoming one another into their lives.
- Kanya Aadhaanam - the father of the bride gives away the hand of his daughter to the groom’s hand symbolizing “This girl brought lots of happiness in our family, let her bring the same in her Husband’s family too” ( Girls is not a property to be given and she is not given as a Dhaana)
- Akshatarpan - both the bride and the groom are showered with Akshata made out of Rice and turmeric expressing their desire for gunsamriddhi, dhan, dharma, santan (children), kirti etc.
- Maangalya Puja - A Prayer is made to Goddess Mahalaxmi to wish long life for the new couple.
- Mangalyadhaaran - The groom ties the Mangalasutra (the sacred thread with two gold pendant and black beads) around the bride’s neck , " Praying the Almighty that I be blessed with a long life, I tie this knot around your neck, oh soubhaygavati, may providence bestow on you a fulfilling life of a ‘Sumangalis’(Married Women) for a hundred years to come? ".
- Vivaha homa - homage paid by the couple to AGNI, the fire- God as witness to the Marriage, Agni dispels the ignorance from our lives and leads us to eternal light and knowledge.
- Lajja homa – by this the bride seeks a long life for her husband, and propagation of the family.
- Paanigrahan - means "holding hands". The Devas have offered you to me in order that I may live the life of a householder (GRIHASTA); we shall not part from each other even after we grow old?.
- Saptapadi - This ceremony binds the couple together with oaths taken in the presence of their friends and relatives.
- Arundhathi Darshan – Seek blessings of Arundhathi & Vashista for virtues to be emulated throughout married life.
- Savasti-Vachanam and Aseervaadam – Priests bless the couple for a long, healthy, prosperous, peaceful, and joyful life, the family
- Mangalaarthi – Performed by the family members.
